Terms of Service 2026

1. Introduction and Acceptance
These Terms of Service constitute a legally binding agreement between you and LifeSafety.ai Limited, a company registered in England and Wales. By accessing or using our cloud-based health and safety management platform, you agree to be bound by these Terms.
2. Platform Description
LifeSafety.ai provides a comprehensive SaaS platform for health and safety management including risk assessment management, incident reporting, COSHH management, training and competency tracking, permit-to-work systems, audit tools, document control, and AI-powered features.
3. Account Registration
You must be at least 18 years of age, have legal capacity to enter into contracts, and provide accurate registration information. You are responsible for maintaining account security and all activities under your account.
4. Subscription and Payment
Access is provided on a subscription basis. All plans come with a 14-day free trial. Fees are billed in advance and are non-refundable except as required by law. We provide at least 30 days' notice before price increases.
5. Acceptable Use
You agree to use the Platform only for lawful purposes. You shall not attempt unauthorized access, transmit malware, reverse engineer the Platform, or use it in competition with LifeSafety.ai.
5.1 AI Features Fair Usage Policy
AI-powered features including but not limited to risk assessment generation, automated report analysis, and intelligent recommendations are provided subject to fair usage principles. LifeSafety.ai reserves the right to implement reasonable usage limits or rate restrictions on AI functionality to ensure equitable access for all subscribers and maintain service quality. Excessive or abusive usage patterns that materially exceed normal business use may result in temporary throttling or suspension of AI features. Enterprise customers may negotiate dedicated AI capacity allocations. We will provide reasonable advance notice before implementing material restrictions to existing usage patterns.
6. Customer Data
You retain all ownership rights to your data. You grant us a limited license to process your data solely for providing the Platform. You may export your data at any time. After termination, you have 30 days to export before data is deleted.
6.1 UK Health and Safety Statutory Requirements
Customers using the Platform for health and safety compliance purposes remain solely responsible for compliance with all applicable UK legislation including but not limited to the Health and Safety at Work etc. Act 1974, the Management of Health and Safety at Work Regulations 1999, and the Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 2013 (RIDDOR).
Specifically, you acknowledge your legal obligations to retain health and safety records for the statutory minimum periods prescribed by UK law, including: (a) accident books, accident records and other records of reportable injuries, diseases and dangerous occurrences: minimum 3 years from the date of the last entry; (b) COSHH assessments and related monitoring records: minimum 5 years, or 40 years where records are identifiable to individuals for health surveillance purposes; (c) asbestos-related records: minimum 40 years; (d) ionising radiation exposure records: until the person has or would have attained the age of 75 years, but in any event for at least 50 years.
Where your subscription terminates, you must ensure timely export of all data subject to statutory retention requirements before the 30-day data retention period expires. LifeSafety.ai accepts no liability for your failure to comply with statutory record-keeping obligations. We strongly recommend maintaining independent backup copies of all safety-critical data throughout your subscription term.
7. Intellectual Property
The Platform and all associated IP are owned by LifeSafety.ai. You receive a limited, non-exclusive license during your subscription term.
8. Service Availability
We strive for 99.9% monthly uptime. Enterprise SLAs are available. We continuously improve the Platform and may modify features with reasonable notice.
9. Limitation of Liability
To the maximum extent permitted by law, LifeSafety.ai shall not be liable for indirect damages. Total aggregate liability shall not exceed fees paid in the preceding 12 months. Nothing excludes liability for negligence causing death or personal injury.
10. Termination
You may terminate at any time through account settings. We may terminate for material breach or with 30 days' notice. Upon termination, you have 30 days to export data.
11. Governing Law
These Terms are governed by the laws of England and Wales, subject to the exclusive jurisdiction of the courts of England and Wales.
